GODMODEX LTD – TERMS & CONDITIONS
GENERAL TERMS & CONDITIONS (Applicable to All Bookings)
Booking Confirmation
• All bookings require a deposit to secure the reservation.
• The balance must be paid in full before the event starts.
• Booking the incorrect truck or location may result in cancellation and forfeiture of the deposit.
• A booking is not confirmed until a deposit or payment has been successfully received.
• GodmodeX LTD reserves the right to release any unconfirmed booking without notice.
Cancellation Policy
• All deposits are non-refundable.
• Cancellations within 48 hours of the event start time will be charged in full.
For Hub bookings:
• Cancellations more than 14 days before the event: 50% refund.
• Cancellations within 14 days or no-shows: No refund.
• Emergencies (serious illness, bereavement): Please contact us to discuss rescheduling.
• No refunds, credits, or transfers will be issued under any circumstances unless agreed in writing at the sole discretion of GodmodeX LTD.
• GodmodeX LTD reserves the right to re-sell or reallocate any cancelled or unpaid booking slot without obligation to the original customer.
Amendments to Booking Times
• Minor adjustments (15–30 minutes) are sometimes necessary.
• Major adjustments will be communicated with no less than 48 hours' notice.
• Clients choosing Flexi Booking agree that times or truck assignment may change (notice provided at least 7 days prior).
Unforeseen Circumstances / Force Majeure
GodModeX LTD reserves the right to cancel, alter, or delay a booking due to circumstances beyond our reasonable control, including but not limited to: illness, vehicle breakdown, severe weather, traffic incidents, government restrictions, or emergencies.
In such cases, a full refund or alternative date will be offered.
Behaviour & Conduct
• Aggressive, threatening, or abusive behaviour towards staff will not be tolerated.
• GodModeX LTD reserves the right to terminate the event immediately without refund if abuse or safety risks occur.
• Smoking, vaping, alcohol, and drug use are strictly prohibited on our premises and vehicles.
Liability
• GodModeX LTD accepts no liability for delays caused by traffic, weather, or other external factors.
• We will not accept responsibility for damages to driveways, grounds, or properties resulting from truck access.
• Event locations must be safe and suitable for HGV access; if unsure, clients must contact us in advance.
Access & Setup Requirements
• If the event location is deemed unsafe, inaccessible, or unsuitable for truck access upon arrival, the booking may be cancelled without refund.
• This includes but is not limited to: insufficient space, unsafe ground conditions, restricted access, or obstructions not disclosed in advance.
• In such cases, the booking will be treated as fulfilled and all payments retained.
Customer Delays
• If the event start is delayed due to the customer or venue, the original booking time will still apply.
• Lost time cannot be extended or refunded.
Damages & Indemnity
• Clients are responsible for any damage to vehicles, equipment, or property caused by neglect, misuse, or vandalism.
• Full repair or replacement charges will apply.
• Clients agree to indemnify GodmodeX LTD against claims arising from misuse, negligence, or breach of these terms.
Safety Policies
• CCTV is used inside our vehicles for safety and training purposes.
• Staff instructions must be followed at all times.
• Bad language, dangerous behaviour, or ignoring staff instructions will result in immediate removal without refund.
Supervision Responsibility
• While staff supervise gaming activity, GodmodeX LTD does not provide full childcare services.
• Parents/guardians remain responsible for children at all times.
Capacity Limits
• Maximum player limits must be adhered to at all times.
• GodmodeX LTD reserves the right to restrict access where numbers exceed safe capacity.
Food & Drink
• Food and drink are permitted inside trucks and hub in designated areas only.
• Spillages or damage caused by food/drink negligence are chargeable.
Equipment & Technical Issues
• While all equipment is maintained to a high standard, GodmodeX LTD cannot guarantee uninterrupted operation.
• No refunds will be issued for minor technical issues that do not significantly impact the overall experience.
Internet Connectivity
• Internet access is provided where possible but is not guaranteed.
• No refunds will be issued due to lack of internet connectivity or online service interruptions.
Condition Recording
• GodmodeX LTD reserves the right to record the condition of vehicles and equipment before, during, and after events for insurance and dispute purposes.
Media Rights
• Photos and videos may be taken during events and used for marketing purposes.
• Clients who object must notify us before the event in writing.
Privacy Policy
• Client personal data is securely stored and never shared with third parties.
• Clients have the right to request access or deletion of personal data.
Payment Terms & Late Fees
• All invoices / remaining balance is due no later than the booking date unless otherwise agreed.
Late payment fees:
• 8–14 days overdue: 15% surcharge
• 15–30 days overdue: 20% surcharge
• 31–60 days overdue: 25% surcharge
• 61–90 days overdue: 30% surcharge
• 91+ days overdue: 35% surcharge per 30 days
• Recovery and legal fees for debt collection will be added to outstanding balances.
Consumer Agreement & Cooling-Off Period
• By booking a service for a specific date and time, the customer acknowledges that the service is time-specific.
• As such, the standard 14-day cooling-off period under the Consumer Contracts Regulations does not apply.
Refusal of Service
• GodmodeX LTD reserves the absolute right to refuse or withdraw services at any time where terms are breached, payment is not completed, or safety concerns arise, without liability or obligation to refund.
Governing Law
• These terms are governed by the laws of Northern Ireland.
• Any disputes will be subject to the exclusive jurisdiction of the courts of Northern Ireland.
💳 FLEXIBLE PAYMENT TERMS & CONDITIONS
GodmodeX LTD offers flexible payment options to allow customers to spread the cost of their booking.
1. Booking & Deposit
• A deposit must be paid to secure the booking.
• The deposit is considered the first payment towards the total booking cost.
• Until a deposit is received, the booking is not secured and may be released without notice.
2. Payment Plan Structure
• The remaining balance may be split into up to four (4) instalments.
• Payments may be made weekly or monthly as agreed.
• It is the customer’s responsibility to ensure payments are made on time.
3. Final Payment
• The full outstanding balance must be paid on arrival on the day of the booking, and no later than the scheduled start time.
• GodmodeX LTD reserves the right to refuse to begin or continue service if full payment is not received.
4. Non-Refundable Payments
• All payments made are strictly non-refundable.
• Payments are made to secure a specific time slot, vehicle allocation, and operational resource.
• By making payment, the customer enters into a binding agreement.
• By making payment, the customer agrees to waive any right to initiate a chargeback or payment dispute for services reserved and/or provided in accordance with these terms.
5. Cancellation by Customer
• If a booking is cancelled at any stage, all payments made will be retained.
• No refunds or credits will be issued unless agreed in writing.
6. Missed or Late Payments
• Failure to maintain payments may result in cancellation of the booking.
• All payments made will be retained.
• GodmodeX LTD may resell the booking slot without obligation.
7. Failure to Complete Payment
• If full payment is not received:

8. Customer Responsibility
• The customer must maintain communication and comply with agreed payment schedules.
9. Payment Methods
• Payments must be made using approved methods.
• Any transaction fees are the responsibility of the customer.
10. Business Protection Clause
• Flexible payments are offered at the discretion of GodmodeX LTD.
• This option may be withdrawn at any time.
11. Cancellation by GodmodeX
• If cancellation is required by GodmodeX LTD, a full refund or alternative date will be offered.
12. Agreement
• By making any payment, the customer confirms full acceptance of these terms and conditions.
